How To Switch From AOBRD To ELD

For those who are still running with a grandfathered automatic on-board recording device, but would like to make the switch to ELD, there are two big questions on your mind:

  • How to make the switch?
  • How will this affect my drivers?

Let’s address both.


How to switch from AOBRD to ELD?

Below, we explain in detail what will happen and how to make the switch.

To make the switching process as easy as possible, we have set up a Configuration Wizard to walk you through the 4 simple steps.

NOTE: If you are a BigRoad customer, you already have the proper hardware – DashLink – installed and will not need to swap. It is ELD-ready, and all you need to do is to make the switch on our website on your computer.
If you’re a BigRoad customer with Fleet Complete, you will need to update your fleet, truck and driver information in the Fleet Complete web application.

Notifications to Configure for ELD

As of November 21, if your fleet is not configured for ELD, Admin Users and Safety Managers will see a warning banner in the BigRoad web application, notifying you that the ELD Deadline is approaching, and that you need to switch your fleet to ELD by December 16, 2019.

Only Admin Users will be able to make the switch. If you’re a Safety Manager, you will also see the notification banners, meant for you to contact the fleet Admin to make the switch to ELD. You can click on ‘Dismiss’, once the switch is made.

Wizard to Simplify Switching from AOBRD to ELD

When an Admin User selects ‘Switch Now’ from any of the ELD Deadline warning banners (or ‘Switch Trucks Now’ if your fleet is ELD-enabled, but your trucks are still configured for AOBRD), they will be taken to a Wizard, where they can complete all of the information needed to switch to ELD in one place!

You’re also able to get to the Wizard by doing the following:

1. Log into your BigRoad account on our website
2.  Go to the Menu (top left)
3.  Click on Fleet Settings
4.  Click on Enable ELD and you will be taken to the ELD Configuration Wizard

The first page of the Wizard is an introduction that explains the steps the Wizard will take you through to switch your fleet from AOBRD to ELD:

  1. Make sure all information required to operate as an ELD fleet is entered for drivers, trucks and the fleet
  2. Enable the settings required to operate as ELD
  3. Switch all trucks required to operate as ELD trucks from AOBRD to ELD
  4. Provide you with links to documentation and next steps

When you’re ready, click ‘Next’ to move to the first step.

STEP 1

On the ELD Readiness Page, you can fill in all of the required information for your fleet, drivers and trucks. Fields that are either required for ELD, invalid, or duplicated will be marked. Updates made on this page can be saved at any time along the way by clicking the ‘Save’ button.

NOTE: Your goal is to have green check marks across all tabs. You have the option to save and continue later, or save and switch those trucks and drivers that are ready, without finishing all of them at once.

When all of the information is complete on all three tabs, and all items show as ELD Ready, you can click ‘Next’ to move on to the next step.

STEP 2

The next step is turning on the ELD settings. There will be 3 required settings to enable ELD and, if they aren’t already enabled in your fleet, you will be required to check the options to allow you to move on to the next step.

NOTE: If the settings are already enabled for your fleet, the boxes will be checked by default and you won’t be able to uncheck them.

The 3 settings are the following:

  1. Enable ELD
  2. Turn on Driver Approval of Carrier Edits: Any edits made to driver logs at the carrier level are required to be approved by the driver under the ELD rules 
  3. Track Unidentified Driving for ELD Trucks: Any driving of an ELD-enabled vehicle, without a driver being connected to the ELD, will be logged against the Unidentified Driver profile. You will be responsible for reviewing any unidentified driving and either assigning it to the responsible driver or annotating why it was unidentified. This is required and will automatically be in effect for all ELD vehicles.

Once the three required settings are enabled, you will be able to click ‘Next’ to move on to the next step. When you do, you will receive a popup message for you to confirm that you want to enable ELD now. Once it is enabled, it cannot be reverted.

STEP 3

The next step of the Wizard is to choose whether to enable the optional settings of allowing Personal Conveyance and Yard Move. If these were already set up for your fleet, the checkboxes will be checked by default, otherwise they will be unchecked. Explanations of the settings will be provided, and you can decide whether to enable them or not, before moving on to the next step.

STEP 4

The final step of the Wizard is to switch ELD Ready trucks to ELD. Users will see which trucks are currently are ELD Ready, and they can select which trucks to switch all at once.

You will be warned that switching to ELD cannot be reverted and will be given the option to cancel.

When the final step is completed, all other fleet Admin Users will be notified via email that the switch has been completed. The link to the ELD Documentation will show up on the screen.


 

What will change for my drivers?

Editing Duty Status

After switching to ELD, Administrators will only be able to edit duty statuses and will no longer be able to adjust the time. As an administrator, you can edit on duty driving to off-duty/Personal conveyance or any on duty status to off duty or sleeper.

NOTE: With ELD, “Yard move” can only be done in “On duty” status and is not limited (as opposed to AOBRD, where Yard move could be done on any status and limited to 5 miles).

ELD Roadside / Audits

Your driver will see a new “Send to FMCSA” button that will appear in the BigRoad application. This is how they will complete a roadside inspection. They will use the same button to submit any ELD Audits.

License Numbers

Driver’s license numbers, and the U.S. state they are issued in, need to be entered on the web portal. To complete this, you will need to click on the drivers name on the web portal, select edit and enter in the information.

Carrier Edit Approvals

Once ELD logs are submitted/signed by a driver, carriers can suggest edits to them to make corrections on behalf of the driver (e.g. drive time of a log). Previously, these corrections were made without notifying the driver or requiring their approval.

When a carrier suggests an edit to a driver, the driver is notified the next time they log into the BigRoad Mobile App. They are prompted to review a pending edit and can either approve or reject it. If the driver rejects the edit, they will be required to include a response, indicating why it was rejected.

  • Carrier Edits are turned on automatically, when you turn on ELD for your fleet.
  • Drivers can now sign their logs multiple times a day to allow for mid-day edit. These signatures are captured on the log and are visible at roadside inspection.
  • Once a carrier makes an edit, they will send the suggestion to the driver. The driver will then be prompted to accept or reject it in the BigRoad application.
